Data Cleansing and Conversion - Frequently Asked Questions

Questions and Answers

Subject: Data re-entry

Q: Will there be any data re-entry through the data cleansing process?

A: It is likely that there will be some data re-entry required of grantees, though CDC is trying to minimize the amount of data entry through data conversion tools. It will be based on how clean the data is coming from grantee instances of VACMAN and how well data fields between the two systems match.

Subject: Reports on previous year's data

Q: Would the grantee be able to run reports on previously shipped data from previous years? Will grantees be able to see a provider’s last five years of ordering history in VTrckS?

A: Yes, historical reporting will be available.

Subject: Download from VTrckS Business Intelligence

Q: Will grantees be able to download the information in VTrckS Business Intelligence or just run reports?

A: Yes, grantees will have access to prior ordering data for their providers.

Subject: Amount of historical data moving to VTrckS

Q: How much historical data will be moved to VTrckS, and will currently inactive VACMAN data, dating back to 1994, be moved to VTrckS?

A: CDC is planning to bring this historical data into the VTrckS data warehouse initially. A data archiving strategy is currently under development. All data will be brought to VTrckS and then retired based on government data retention rules. Grantees will be provided with the process for requesting archived data if necessary.

Subject: Collection of vaccine wastage, transfers, and inventory amounts

Q: Currently VACMAN allows for the collection of information around vaccine wastage, transfers and inventory amounts. Will this be the same in VTrckS?

A: Yes, VTrckS will collect these data points, although the manner in which they are collected may be different.
