Subject: Changes to orders once submitted

Q: What if the grantee or provider forgets to order a particular vaccine from the recommended ordering quantity list?

A: Providers are not able to make changes to orders once they are submitted to the grantee. If a provider has forgotten a vaccine from his/her order, the provider will need to contact the grantee to amend the order or place a new order.

Subject: Registry/ordering system

Q: If a grantee and their providers go live on VTrckS, will they be prohibited from implementing their own e-ordering registry in the future?

A: No. A grantee always retains the option to implement their own registry with vaccine ordering capabilities.    

Subject: Storing vaccines

Q: Do grantees have to store particular vaccines in case a provider runs out?

A: Grantees will continue business practices as they do today. Vaccine management/distribution process(es) through CDC’s centralized vaccine distributor is not changing as part of VTrckS implementation.

Subject: Provider profiles

Q: Will it be possible to update provider profiles in VTrckS? 

A: Yes, the current provider profile information that is located in the active ordering part of the system may be updated.

Subject: Annual Population Estimate Survey

Q: Will the Annual Population Estimates Survey continue to be created?

A: Yes, the survey will continue as it does currently and will not be part of VTrckS.

Subject: Monitoring reports for auditing

Q: We are audited by the state twice a year.  Will we have the same access to reports in VTrckS that we currently have in VACMAN?

A: Yes, monitoring reports will be accessible and improved in VTrckS.

Subject: Impact of Health Reform Law on VFC

Q: How much will the new health reform legislation impact the VFC program and VTrckS?

A: We do not anticipate a huge impact on the VFC program.

Subject: VTrckS performance speed

Q: Are there any projections on the performance speed of VTrckS?

A: CDC is currently looking at hardware and network performance requirements to ensure that VTrckS has optimal performance.

Subject: Changes to providers' addresses, hours, etc.

Q: Will providers be able to update their own addresses, hours of operation, contact persons, etc., in VTrckS?

A: Providers will be able to edit phone numbers and e-mail addresses but will not be able to edit shipping addresses or hours of operation. Providers will need to communicate with grantees outside of the system to request these changes.
