Contingencies

 

1. Multiple Locations. Centers may store portions of large accessions in more than one center location. This procedure is called breaking out an accession. It is accomplished by using alpha characters in the 7th position of the accession number field and/or placing a unique identifier in the subgroup field. When an accession resides in multiple locations, the following error message will appear near the top of the request screen after the request information is transmitted to the mainframe computer:

MULTIPLE LOCATIONS EXIST FOR THIS ACCESSION NUMBER. PRESS F2 NOW.

Refer to part 5, Accessing NARS-5 Information, for instructions on selecting the correct portion of a broken out accession for inclusion in the reference request record.

2. Removed Accessions. Occasionally, a requester may submit a request for records from an accession which has been removed from the center. In this case, the following error message will appear near the top of the reference request screen after the request information is transmitted to the mainframe computer:

ACCESSION RECORD WAS NOT FOUND ON ACCESSION RECORDS DATABASE

Refer to part 6, Viewing History File Information, for instructions on accessing information on the action which removed the accession from the records center.
