Division of Applied Science and Technology (DAST) Policy on Administrative Supplements

As stated in the Grant Application Guide (PHS 398), “an administrative supplement provides additional funding to meet increased costs that are within the scope of your approved application, but that were unforeseen when the new or competing continuation/renewal application was submitted.” It should be noted that requests for administrative supplements are carefully reviewed and granted only for well documented cases where a supplement is needed and appropriate. If you are considering supplemental funding, it is strongly recommended that you review the NIH policy on administrative supplemental funding in the PHS 398.

To be considered for an administrative supplement, a principal investigator (PI) must first consult with the program director and grants management specialist of their grant to determine whether the request satisfies the NIH guidelines. Then, the PI must submit a request in writing to the NIBIB that is signed by the PI and authorized business official at the PI’s institution. The request must include the following:

  • Description of the unforeseen need for additional funding
  • Documentation on the expected costs and current costs of the project
  • Address what objectives will not be accomplished if the administrative supplement request is denied.
