NIH Web Collaboration: Services and Rates

Web Meeting Service
We support web meetings through Adobe Connect Professional.
You can schedule ad hoc meetings for up to 50 participants. (We support single meetings for up to 500 attendees through seminar rooms). If you expect more than 50 attendees, please schedule through an Event Request to assure that there will be enough capacity for all of your participants.
There is no charge when there is only one person in the room, which allows the host or presenter to set up the meeting room or practice with the application. There is no charge to view the recording of a meeting, and meeting recordings are hosted wholly within the NIH infrastructure.

Audio Conferencing Service
We support ad-hoc meetings for up to 300 teleconference attendees through Premiere Global Ready Conference. (For MeetingOne accounts, please contact MeetingOne directly.)

Not included:
Archival Content Storage
Content created or uploaded to the NIH Web Meeting system is available on-demand 24x7 based on the permissions set by the creator, and is archived according to the NIH Data Center's archival policy.
Included in rate:
- Archival content storage for items uploaded or created on the NIH Web Meeting system
- Unlimited use or view of content according to the access permissions set by the content owner
Not included:
- Restoring content intentionally or accidentally deleted from the system by a user
- Dedicated technical support
- Web Meeting usage
On-Demand Publishing
Included in rate:
- General service desk support through the NIH IT Service Desk for Adobe Captivate and Presenter
- Ability to publish supported content types to a personal Content Library
Not included:
Event Management
The Events module for web meetings or content allows you to force attendees to pre-register, collect survey information as they register, automatically send reminders as the event gets closer, and send follow-up messages to attendees as well as registrants who did not attend.
Included in rate:
- Ability to register attendees before they can attend a live or on-demand session
- Ability to automatically or manually approve registrations
- Ability to ask survey and custom questions as attendees register
- Ability to automatically send invitations, reminder, and follow-up emails to registered users
Not included:
Dedicated Support
Have a technician dedicated to supporting your event (remotely), helping with any tasks you wish, including attendee troubleshooting, transitioning between presenters, or just about anything you wish someone else would just take care of for you. We can also work with you before an event to assist in planning and dry runs.

Live Captioning
If you require captioning and know you will have a hearing-impaired participant in your live meeting, you may be eligible for a separately-funded captioning service. Please contact the Web Collaboration Team for details.
Caption requests must be received no fewer than three full business days in advance of the event to be captioned. We make every effort to secure a captioner on shorter notice, but there is no guarantee that we will be able to support your request.
Please see NIH Events Management webpage for more information and the most current rates. Last checked November 24, 2009, captioning costs $212/hour, billed in quarter-hour increments. They charge for an event's full scheduled time even if it ends sooner. There is a charge of 50% for events cancelled less than 24 hours before the scheduled start time.

Seminar Rooms
Host a meeting with up to 300 attendees, plus have a Web Collaboration technician dedicated to assisting you and your attendees for the duration of your event at no additional charge.
Seminar Rooms must be reserved through the NIH Web Collaboration team with a minimum of 48 hours notice, and are available on a first-come, first-served basis. Seminars scheduled outside of regular business hours may be supported at the NIH Web Collaboration team's discretion for an additional fee.

- Only allowing access to a specified URL to persons on the NIH network, or HHS network, based on IP (persons using VPN to gain access to the network would be granted access)

Encoded Video Event

Did you know that you can host an event in a conference facility, such as Natcher or Lipsett, and have the video and audio sent to a Web Meeting room? Or broadcast a video teleconference into a Web Meeting room? The NIH Web Collaboration team coordinates with ORS and the VTC team to support such events.
Encoded video events must be reserved through the NIH Collaboration team with a minimum of 48 hours notice, and are available on a first-come, first-served basis. Encoded video events scheduled outside of regular business hours may be supported at the NIH Web Collaboration team's discretion for an additional fee.
Included in rate:
- Use of one encoder in the Video Operations Center (VOC)
- Use of one VTC endpoint OR direct fiber feed to the VOC
- Web Collaboration technician to set up and take down encoder
